Begin with the current agreement

Before drafting a response, check the relevant booking details and the terms already communicated. A customer changing an appointment and a business unable to deliver are different situations. Do not replace the existing agreement with an improvised rule because the diary is inconvenient. Where obligations are unclear, get suitable professional guidance. This article offers a communication exercise rather than a policy or legal template, and the wording needs to fit the actual arrangement and applicable requirements.

Make the action unmistakable

State which appointment is affected and whether it remains booked, has been cancelled or is awaiting confirmation. Explain the next available action in plain language. If the customer must choose a new time, describe how to do so and whether any existing arrangements need review. Avoid burying the operational information under a long apology or generic policy extract. A clear message helps both sides understand whether something still requires attention and who is expected to act next.

Close the internal loop too

After the message is sent through an authorized channel, update the diary and any preparation or supplier arrangements connected with the booking. Use a fictional cancellation to rehearse this sequence before you need it. Check whether a reminder or automated message could still go out with the old details. Keep a short record of the agreed change in the proper customer system. The task is complete when the customer-facing explanation and the business's working records describe the same situation.
